Registration

All participants must be registered and are advised to register in advance using the on-line system - click here. Those not registered will be refused access to the session halls and exhibition area.

Registration fees

VAT 19,6 % is applicable for all Conference registration fees and will be charged in general on top of the net registration fee. Registration Fees paid by all Companies having a French VAT number are matter of Reverse Charge regulation, Conference Department must receive the French VAT number for the preparation of the invoice, the amount ex or net of French VAT is to be paid, wrongly paid French VAT 19,6 % will be refunded.

All participants are kindly requested to submit their complete contact details in the online system or paper registration forms. The Conference Department requires full postal address and email address of the registering participant. Please note that failing to submit these important details by 15 August 2012 may cause inconvenience. If you have any questions please contact Conference Department personnel.

Registrants will receive confirmation and a final invoice (only upon request) after  payment is received. This confirmation should be presented upon arrival at the Pre-registration counter if the account is settled or at the On-site registration if a balance is still due.

Accreditation of Learning Hours

EDTNA/ERCA will recognise and certify the number of session hours attended by delegates. The Association is committed to Continuing Professional Development (CPD) and this process enables those participants who need to demonstrate up-to-date  current practice to gain recognition for their Conference attendance. Details of the sessions eligible for CME accreditation points will be published on the Conference website in August.

1 credit will be assigned for each session (1 session per time slot, minimum 30 minutes spent in the session hall).

A Certificate of attendance will be provided together with a CME certificate on the final day of the Conference.

Accommodation

HOTEL RESERVATION DEADLINE - 12 JULY 2012

Hotel rooms at special Conference rates are being held for Conference participants and their families in various hotels in Strasbourg city centre in close vicinity to the venue.

There will be no shuttle service provided by the EDTNA/ERCA between the official hotels and the Conference venue.

Boats are equipped with multilanguage audio system (13 languages). The trip takes approximately 1 hour and 15 min. You will be dispatched at the city centre boat station. To be eligible for this tour you need to register for one of above mentioned times during the registration process. You will receive your voucher with assigned time and date electronically before the start of the Conference.

The organisers will be pleased to send a letter of invitation to any individual requesting one, once their registration form and fee have been received. It is tobe understood that such an invitation is intended to help potential participants to raise travel funds or obtain a visa. It is not a commitment on the part of the Conference to provide any financial support. You may request such a letter from the Conference Department.

Badges

Each participant will receive a name badge at  registration. Badges must be worn at all times to enable session attendance to be tracked for education accreditation. On the badge is a barcode which is scanned on entering each session hall. CME credits will be assigned according to information received from the barcode system. This record is also used for safety reasons to record participants  in the building in case of an emergency. Therefore it is important you present your badge with barcode at each session hall.

Coffee breaks and lunches

Coffee-breaks and lunches (in the form of a lunch box) on the 16 and 17 September are included in the registration fee.

ECO activities: Food will be mainly composed of biological products and local/seasonal dishes.

Conference Patron

The Conference is held under the patronage 
of Ville et Communauté urbaine de Strasbourg.

Official Language

The official language of the Conference is English, although plenary sessions and sessions held in the main hall (ERASME Hall) will be translated into French, German and Spanish.

Official Letters of Invitation

If you require an official letter of invitation to obtain your visa to enter France, please contact the EDTNA/ERCA Conference Department. Please note that the Organisers do not undertake any obligation to pay any expenses incurred by supplying these letters. Furthermore, for some countries, a confirmation of registration with payment may be asked by the authorities. Please contact the nearest French Embassy or consulate in your country for further information.

Restriction of Taking Pictures at the Conference

Participants are kindly reminded that photography is prohibited at all oral presentations to reduce disruption for speakers and the Audience at the 41st EDTNA/ERCA International Conference. The presentations will be available for  EDTNA/ERCA members after the Conference on the EDTNA/ERCA website.

Need to be switched to silent mode or switched off during sessions.

Public Transport Tickets

This ticket is valid on trams and buses, for an unlimited number of journeys - special price for Conference participants.

3 day ticket

Valid from 15 September 2012 (04.00 h) until 18 September 2012 (00.30 h). The price consists of 6,30 EUR ticket (instead of 9,30 EUR - special EDTNA/ERCA participant discount) + 1 EUR handling fee.

4 day ticket

Valid from 15 September 2012 (04.00 h) until 19 September 2012 (00.30 h). The price consists of 9,30 EUR ticket (instead of 12,40 EUR - special EDTNA/ERCA participant discount) + 1 EUR handling fee.

Book your tickets during the registration process. The tickets will be given to you upon your registration onsite together with your Conference materials.

EDTNA/ERCA Key Member & Link Member Stand

Attended by the Key &Link Members representing different countries, the Key & Link Member stand will be a part of the International Exhibition area and provides a focus for disseminating information regarding Association activities. Key & Link Members will be accessible to answer questions or solve problems, or feel free to use the available message board at the booth to contact colleagues at the Conference. Key & Link Members produce vibrant posters to effectively communicate activity within their country. These are available through both the Conference and Association website.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organisers should the holding of the Conference be hindered or prevented by unexpected political or economic events or generally by force majeure, or should the nonappearance of speakers or other reasons necessitate programme changes. With registration, the participant accepts this proviso.
